Volunteer Coordinator Job Description

 

Classification: Non-exempt, hourly, part-time (15 hours/week.)

Compensation: $18-25 per hour, Benefits: Holiday and Paid Time Off

Reports to: Family Literacy Program Director

Overview:

This position is responsible for implementing Loudoun Literacy Council’s Volunteer base coordination.

 

Duties and Responsibilities:

  • Respond to initial contact of persons interested in volunteering with Loudoun Literacy Council.
  • Organize and coordinate recruitment of volunteers, individuals, and groups.
  • Determine the best program fit for volunteers, and coordinate with staff.
  • Onsite supervision and direction to volunteers as well as pre-and post-event communication.
  • Assist with Family Literacy programs and events, including book parties, book collections, book distributions, Baby Book Bundles, Storywalks, etc.
  • Coordinate and oversee in-office volunteer activities in support of ALP and FLP programs, as well as miscellaneous administrative and office-based tasks.
  • Conducts key tasks for special events under the direction of the Executive Director.
  • Responsible for volunteer recognitions and incentives.
  • Coordinate volunteer-based programs and donations; drop offs/collections/processing
  • Track in-kind book donations, by the donor and by total value, and ensures proper acknowledgment and record keeping.
  • Assists the Adult Literacy Program Director, Family Literacy Program Director, and Executive Director with grant reporting; organizes data for grant reporting, annual report, and tracking key information.

 

Qualifications:

  • Knowledge and commitment to the organization’s mission, goals, and programs.
  • Volunteer coordination experience with a non-profit organization is preferred.
  • Ability to work as part of a team with staff and work effectively with community partners and volunteers.
  • Flexibility to coordinate with volunteers after hours when necessary.
  • A demonstrated ability to manage personal interactions with courtesy and professionalism.
  • Multi-task oriented, flexible, and self-directed with attention to detail is especially important.
  • Attention to confidentiality.
  • Demonstrated proficiency in Microsoft SharePoint, Word, Excel, and PowerPoint.
  • Knowledge of Microsoft Forms is a plus.
  • Demonstrated ability to manage events and track details.
  • Highly organized with excellent writing and communication skills.

  • Social Media write-ups for Thankful Thursday and Favorite Book Friday posts
  • Collaborate with teams to improve electronic documentation and forms for efficiency and tracking data
    • Create/manage online registration forms
    • Volunteer tracking input
    • Teacher tracking input
    • Programming surveys for data management
  • Create documents that employ mail-merge functions
    • Labels for book packs classrooms
    • In-kind tracking
    • Nametags for special events
  • Organize Silent Auction items
    • Tracking
    • Bid sheets
    • Reporting
